KAC BOOKING & CANCELLATION POLICY

 

1. DEPOSIT & BALANCE PAYMENTS

Bookings are confirmed only by the payment of a non-refundable deposit within a specified number of days from the KAC acknowledgement of a booking request. Until the full deposit has been received by KAC, all bookings are considered and treated as tentative and remain unconfirmed.  Should a deposit not be received within the specified period, KAC reserves the right to cancel the booking without additional notice.

PAYMENT RULES

More than 30 days prior to arrival

50% deposit required within seven days of booking request acknowledgement.

50% Balance payment due 28 days prior to arrival

Less than 30 days but greater than seven days prior to arrival

100% deposit required within seven days of booking request acknowledgement.

Less than seven days prior to arrival

100% deposit required at time of booking request acknowledgment or prior to 9:00am the following day.

Any deposit or balance payments not received in accordance with the terms above will result in the cancellation of your booking.

2. CANCELLATION CHARGES - ALL LODGES

Charges for cancellations (and the issue of refunds if applicable) will be based on the table below.

3. Once a reservation is confirmed, any reduction in the number of people attending the stay or any change of dates from the original reservation shall be regarded as a cancellation and cancellation fees will apply.

4. Accommodation is NON-TRANSFERABLE to other people and bookings not utilised cannot be transferred to a later period of the season nor the following, nor any other, year.

5. REFUNDS will not be issued to anyone who, once in residence, decides to shorten their scheduled booking departure date.

6. KAC will not be responsible for any circumstances which preclude a guest taking up residence at any of the Club’s Lodges (including climatic conditions).  The Club recommends that members/ guests insure themselves against any loss of monies due to cancellation of their accommodation attributed to illness or injury.  KAC highly recommends travel and medical insurance.

7. The Rules and By-laws of KAC, the House Rules and authority of the House Captain must be observed and respected by all persons in residence or using the amenities of KAC Thredbo, KAC Perisher (Alpenhof) and KAC Charlotte Pass (The Lodge).

 

GENERAL INFORMATION

  • KAC offers ‘Lodge’ accommodation. Accommodation is allocated to fill beds NOT rooms.  Therefore, it should be expected that members and guests within a group booking will share rooms.  Accordingly, the Club cannot cater to specific room requests.  In all circumstances children under 12 years of age must be accommodated in the same room as a parent or guardian.
  • Babysitting – Members and guests cannot employ a non-resident guest to baby-sit.
  • It is a breach of the House Rules if non-resident guests enter the accommodation areas of the lodges or if a visitor is left unattended in the lodge.
  • There are 2 single rooms at KAC Perisher (Alpenhof) and 2 single rooms at KAC Charlotte Pass (The Lodge) and no single rooms at KAC Thredbo.  All properties offer male share or female share rooms.
  • Single supplements may be purchased to ensure private rooms.  Single Supplements are only available in two share rooms.
  • Minimum room occupancy restrictions apply to all rooms and all Lodges.
  • KAC lodges operate a “run-of-house” policy regarding room allocations and the office reserves the right to re-room properties to maximise occupancy. The office for this reason does not disclose room numbers as room numbers will change.
  • Toddler Rates: Toddlers from 0-2 years of age stay for no charge at all KAC Lodges.  No catering or bed allocation is provided for this age group.  It is the responsibility of the supervising adult to supply all meals for this age group.  Toddler meal packages, equivalent to KAC child member rates, are available for purchase at time of booking. Two Lodge cots are available at each Lodge – these are to be reserved at time of booking.  Should a Lodge cot not be available you will be required to supply your own.
